THE ROLE
We’re on the lookout for a Business Systems Manager to take charge of our growing digital infrastructure. We need a sharp, solution-oriented systems leader to ensure our operational platforms run smoothly, scale effectively, and deliver real value to the business.
You’ll be responsible for the end to end functionality of our Enterprise Resource Platform (ERP) and all the connecting systems like Shopify and our third party logistics (3PL) service providers’ Warehouse Management Systems (WMS). You’ll also own the relationships for our outsourced office-IT provision. You’ll work closely with internal teams and external partners to keep everything connected, optimised, and future-ready. From system troubleshooting to driving automation and leading process improvements, you’ll be the go-to person for all things business systems.
KEY RESPONSIBILITIES
Reporting to the Chief Finance Officer (CFO) you will be responsible for the following:
System Management & Administration
+ Manage core business systems including our ERP (Enterprise Resource Planning) System - Priority ; connections to Shopify, Amazon and other similar order-management systems; and operational systems including integrations to 3PLs’ WMS.
+ Be the first point of contact for all business-critical infrastructure and engage with third-party specialists to deliver business continuity and continuous improvement.
+ Monitor APIs and automations; resolve errors promptly and suggest improvements.
+ Overall responsibility for our internal communications platforms, email, software and file management systems - we currently use G-Suite, Slack and Notion. Main point of contact for our IT helpdesk support provider.
+ Maintain, troubleshoot, and optimise systems to ensure performance and integration
+ Safeguard data integrity, enforce security standards, and manage backups.
+ Act as the internal owner for data protection and compliance within Priority and related systems, ensuring alignment with GDPR and other relevant data privacy regulations, managing access controls, supporting audits and collaborating with other internal departments to implement and maintain robust data governance policie
+ Drive technical innovation and improvements to support company growth.
+ Document system processes, integrations, and automations clearly and accurately.
+ Manage the budget for Systems and IT operations, escalate challenges and implement efficiencies
ERP & Integrated Systems Project Management
+ Provide ERP user support, including training and light customisation
+ Assist in rolling out new systems and upgrading existing ones
+ Collaborate with finance, sales, operations, and other teams to align tech with needs
+ Develop project timelines, manage budgets, and track implementation progress
+ Use Notion to manage projects, document workflows, and coordinate cross-team collaboration
Process Improvement
+ Evaluate current processes and recommend improvements or automation
+ Partner with leadership and teams to identify and implement system-based enhancements
Vendor & Stakeholder Management
+ Manage relationships with software vendors and external tech partners
+ Handle contracts, service-level agreements, and system updates
+ Coordinate training to ensure all users can navigate systems confidently
Reporting & Analysis
+ Deliver regular reports on system health, performance, and usage
+ Ensure seamless data flow across platforms; detect and resolve anomalie
+ Provide actionable insights to support business decision-making
Team Collaboration
+ Work cross-functionally with internal teams and consultants to ensure system stability
+ Create and update internal IT policies and recommend appropriate external support resources
WHO YOU ARE
+ To be successful in this role, you will need the following skills / knowledge / experience:
+ Strong technical background with a history of delivering impactful systems projects whilst maintaining operational excellence.
+ Advanced knowledge of ERP system(s). Ideally Priority, but other systems eg Oracle Netsuite / SAP / Microsoft Dynamics Business Central are applicable
+ Experience with systems supporting operations, sales, and finance in a consumer-goods field
+ Proven ability to manage external vendors and stakeholder relationships.
+ Strong data analysis and presentation skills.
+ Advanced knowledge of MS Office and G-Suite, etc.
+ Clear and confident written and verbal communication skills, including the ability to “translate” technical jargon into business-impact for senior stakeholders, and to simplify concepts for users of all levels.
+ High attention to detail with a structured, methodical approach
+ Strong analytical and problem-solving capabilities, even under pressure.
+ Comfortable working in a face paced environment with cross-functional teams and adapting to different needs.
+ Excellent organisational and multitasking skills
